A practical stack for a small church is the tithe tracker plus the offering count sheet. Add benevolence if a committee writes checks from a restricted fund. Add the fundraising file only when you have a named campaign. All four listings were active at $6.99 USD on the pull that updated this page.

Where ChatGPT and Claude belong — and where they do not

AI is useful on church money in three narrow ways:

  1. Formulas. Ask for a SUMIFS that totals the Giving Log by fund and month. Paste a header row and three fake sample rows — not live donor data.
  2. Board notes. Paste fund totals only (“General $12,400, Missions $2,100, Building $800; last month General $11,900”) and ask for a 150-word finance-committee note. Tell it not to invent causes.
  3. Print forms. Ask it to draft a one-page check-request form: payee, ministry, amount, receipt checkbox, two signature lines, treasurer box for check number. Print that. Log the payable in the spreadsheet.

Hard rule: do not paste donor names, envelope numbers, bank account numbers, Social Security numbers, or a signed count sheet into a consumer chat. Dual control is a physical procedure. A language model is not a second counter.

If the bank statement and the sheet disagree, the bank wins until you find the row. AI does not reconcile a deposit bag.

DIY giving-log schema (standalone, no purchase)

If you are building this in a blank Google Sheet tonight, use one workbook and three tabs. Do not mix personal grocery categories with ministry funds.

Tab A — Giving Log

One row per gift. Columns, in order:

  1. Date
  2. Envelope / donor number (prefer a number over a name in the working file)
  3. Fund — dropdown from a Setup tab: General, Missions, Building, Benevolence, plus your church's named funds
  4. Amount
  5. Method — Cash / Check / ACH / Card / Online / Other
  6. Check or confirmation number (optional)
  7. Deposit date
  8. Notes

Designated gifts keep their fund tag forever. A missions gift that later “helps payroll” is how churches lose restricted-fund arguments.

Tab B — Expense Log

Date, check number, payee, ministry, fund, amount, receipt Y/N, notes. Ministry and fund are separate columns. A missions trip reimbursement is Missions (fund) and Outreach (ministry). Mixing those two is how budget-vs-actual lies to the board.

Tab C — Dashboard (formulas only)

YTD giving, YTD expenses, net, budget utilization, and a designated-fund balance for each fund on Setup. You do not type totals here. If you find yourself overwriting a dashboard cell, the formula is already broken.

December checklist (works on any file)

  1. Lock the calendar year on Setup. Do not keep logging January gifts into last year's book.
  2. Every designated fund has a running balance that equals gifts in minus withdrawals out. If it does not, find the row before you print statements.
  3. Contribution statements are totals from the giving log, not a second typed list. If you retype donor totals, you will ship a letter that disagrees with the log.
  4. Keep official donation receipts. This system does not replace them.
  5. If the church letter and your household log disagree, the church's official records win until someone finds the missing gift.
